Delete your LootCRM account

Who can delete what

  • The account owner — the person who holds the business account and its subscription — can ask for the whole business account to be closed and its data deleted. Only the owner can close a business account.
  • A team member can ask for their own login to be deleted. That does not close the business account, and it does not delete the business's customers, quotes, invoices or other records: those belong to the owner's business.
  • The owner can remove a team member at any time: sign in at lootcrm.com, open your name (top right) > Business Admin > Manage Users, and delete that user, or use Team > Remove in the Android app. Their login is deleted, they are signed out everywhere straight away, and the customers, sales and jobs they entered stay with the business.

Ask from your account

  1. Sign in at lootcrm.com. In the Android app, More > Delete account opens this step in your browser.
  2. Open your name (top right) > Profile, and in the Delete account section choose Delete my account.
  3. Enter your current password (if you sign in with Google, sign in with Google again when asked), type your account e-mail address, tick the box, and choose Request deletion.
  4. We e-mail a confirmation link to your account's e-mail address. Open it within 24 hours and press Yes, delete my account.

Nothing happens until you confirm from that e-mail. Once you do, we e-mail you a receipt, and if you are the owner the subscription stops renewing at once. Our staff then carry out the deletion by hand within 30 days and e-mail you when it is done. If you change your mind before then, sign in and cancel the request from Profile > Delete account, or reply to the receipt, and nothing is deleted.

The request covers the person who is signed in. An owner's request closes the business account; a team member's request deletes only that team member's login.

By e-mail (if you cannot sign in, or have uninstalled the app)

E-mail support@perlicom.com from the e-mail address of the LootCRM account, with the subject "Delete my LootCRM account". Tell us the business name and whether you are the owner (close the business account) or a team member (delete your own login).

  • The request must come from the account's own e-mail address. A request from any other address is refused, or we ask for proof that you control the account before doing anything.
  • Only the owner can close a business account. A request from a team member can only delete that team member's own login.
  • We confirm before acting. We reply to the account's e-mail address asking you to confirm. Nothing is deleted until the owner (or, for a team login, that team member) confirms from that address.
  • We normally reply within a few working days, and we complete a confirmed deletion within 30 days. Deletion is never instant.

Before you close a business account

  • Download your records first. The invoices you issued to your own customers are your business records, and you may be required to keep them (in Ireland, for six years). Once your account is deleted we cannot restore them.
  • Deleting your account does not refund a payment. If you paid in the last 14 days, use Cancel subscription and get a refund first.

What is deleted when a business account is closed

  • The owner's login, profile, and the business profiles and settings.
  • Customers and their contact details, customer activity and job history.
  • Quotes, invoices, receipts, payments and credit notes you issued to your customers, and recurring-invoice schedules.
  • Jobs and work orders, products and services, expenses, and every uploaded file and receipt photograph.
  • E-mail logs and templates, text templates, reminders, marketing lists, campaigns and subscriptions, supplier enquiries, support tickets, customer-portal links and change history.
  • Sign-in sessions, devices and push-notification tokens.
  • Every team member's login: they are signed out and cannot sign in again. The records they entered are deleted with the rest of the business.
  • API keys, sign-in sessions and devices of the owner and of every team member.

What is deleted when a team login is deleted

That person's login, name and e-mail address, their sign-in sessions, devices and API keys, and their own notifications and reminder settings. The customers, sales and jobs they entered belong to the business: they stay, and are handed to the account owner. If the team member asks us to erase their data, we also remove their name from those records and delete their support tickets.

What is kept, and for how long

  • Our billing records with you: the invoices and credit notes we issued you, and the records of your payments, refunds, cancellations and chargebacks, including your "Start my subscription now" confirmation. Irish tax law requires us to keep these for 6 years after the end of the year they relate to (VAT Consolidation Act 2010 s.84, Taxes Consolidation Act 1997 s.886), and GDPR allows it (Article 17(3)(b)). They hold your name, company, billing address, e-mail address, VAT number, amounts and dates, are used for nothing else, and are deleted when the 6 years end.
  • A record of the deletion itself: the e-mail address, your name, when it was asked for, confirmed and done, what was deleted, and, for a request made from your account, the IP address and browser it came from. Any reason you gave is deleted when the deletion is done. The record is kept for 6 years after the end of that year, as evidence that we did what you asked (GDPR Articles 5(2) and 17(3)(e)), and is then deleted.
  • Our system backups: we back up our servers every night to private storage that we control, keep the most recent nightly backups and delete older ones automatically on a rolling basis. We also hold a small number of older archive copies made before system changes; these are reviewed and removed periodically. We never restore a deleted account from a backup, and a copy of deleted data stays in a backup only until that backup is deleted.
  • Server logs (date, request, IP address) are kept for up to 90 days.
